Medical evidence for clinical and work placements
Distinguish placement absence evidence, return requirements and pre-placement screening or clearance.

A placement can require several different kinds of health documentation: evidence explaining an absence, advice about returning to tasks, or records meeting pre-placement requirements. These are not interchangeable. Ask your education provider and placement host which document is needed, then confirm that the clinician can perform the assessment required for that specific purpose. This matters particularly in clinical settings, where a standard absence certificate does not replace screening, vaccination records or other compliance requirements. Requirements also differ between courses, hosts and jurisdictions.
Separate absence evidence from clearance
An absence certificate may document a supported period when you could not attend. A clearance or capacity request may ask whether you can perform particular tasks safely. Pre-placement compliance may involve an entirely different set of documents and checks.
For example, NSW Health's placement information directs students to requirements concerning screening, vaccination and other checks. Those requirements are specific to the relevant placement framework. A general certificate saying you were unwell does not demonstrate that all placement prerequisites have been met. Obtain both sets of instructions
Your university or training provider may have an academic absence process, while the host has operational requirements for missed shifts or returning after illness. Ask who needs to be notified and which documents each organisation accepts. Keep the instructions together so you can identify any differences.
If the host asks for a form, provide the whole form to the clinic rather than paraphrasing one sentence. A practitioner needs to understand what they are being asked to sign. A certificate should only state facts and opinions the clinician can reasonably support. Health Professional Councils Authority NSW: Medical certificates: what you should know
Explain the tasks you were expected to perform
Describe whether the placement involves patient contact, physical assistance, driving, machinery, food handling or other relevant tasks. Explain how symptoms affected participation and identify the actual missed dates or shifts.
This information helps distinguish an illness-related absence from a concern about performing a particular duty. A student may be able to attend a classroom session but have a different capacity for a demanding practical shift. The clinician should assess the actual situation rather than infer all duties from the course name.
Notify the placement contact promptly
Follow the institution's reporting process and explain what you currently know about the likely absence. Do not wait for medical evidence before making a notification that is required earlier. If the dates change, update the relevant contacts as appropriate.
Ask about the deadline for documentation and whether make-up hours, missed assessments or progression need a separate application. These are education or placement decisions. A medical certificate can support the health circumstances but does not automatically determine academic credit or remove a course requirement.
Prepare for the clinical assessment
Have a symptom timeline, relevant health history and any previous assessment information available. If you need advice as well as documentation, explain both. A request for paperwork should not prevent the clinician from addressing a problem that needs examination, testing or ongoing care. Medical Board telehealth guidelines
If the concern has resolved, tell the doctor honestly. Earlier dates require a supported retrospective opinion and a truthful issue date. Read certificates for previous absences rather than assuming the clinic can certify every missed placement day after the fact. Returning may require more than the absence certificate
Ask whether there are current restrictions or a specific return process. If a treating clinician or public health service gave you instructions, explain those to the appropriate placement contact and seek clarification from the treating service where needed.
Do not ask a doctor for an undefined declaration that you are safe for every clinical task. A meaningful assessment may need the duties, exposure considerations or the host's exact questions. The return-to-work guide explains similar distinctions between absence evidence and a specific capacity opinion.
Pre-placement forms can require another service
Screening and vaccination documentation may involve checking original records, undertaking tests or attending in person. The applicable host decides its compliance process, and the clinician needs to be able to perform the required assessment. NSW Health directs students to its current student-compliance resources. A general telehealth clinic may not offer occupational screening or placement clearance. Confirm the exact service before payment. If documents are missing, ask the education provider what records are accepted rather than assuming a general certificate can substitute for them.
Keep health information purpose-specific
Ask which information needs to go to the education provider and which belongs with the host's authorised health or compliance team. Different recipients may need different documents. Avoid forwarding your entire consultation summary merely because it is available. Health information remains subject to privacy protections. If asked to authorise broader disclosure, understand the purpose and scope. Raise uncertainty with the clinician and the institution before treating the request as routine. Accurate, targeted documentation is generally more useful than a bundle of unrelated records.
Where Doccio may fit
A Doccio doctor consultation may be suitable for some general health assessments, subject to eligibility and the clinician's decision. Confirm whether the particular placement document is within scope; this guide does not promise pre-placement clearance, vaccination verification or every occupational assessment.
For standard absence evidence, start with medical certificates. For an academic special-consideration process, read the university guide. Bring the host's requirements, the institution's requirements and the actual dates so the clinician can identify the appropriate task and explain any limitations before you rely on the document.
