Medical appointments and work: attendance, sick leave and evidence
Understand the difference between attending an appointment and being
By Doccio Clinical Team · Sources reviewed October 2026
Attending a medical appointment and being unable to work because of illness or injury are different questions. An attendance confirmation records attendance; a medical certificate may support an assessed period of incapacity. Check your workplace's requirements and explain the appointment, recovery needs and affected duties so the clinician can consider appropriate documentation.
The distinction helps when an employer asks for proof of a consultation, when you miss part of a shift or when a planned appointment does not involve an illness that prevents work.
Identify why you were away
Explain whether the absence concerned a routine appointment, assessment of an illness or treatment affecting your ability to work. These situations can overlap, but they should not be described as identical simply because all involved a clinic visit.
Fair Work says paid sick leave is for employees unable to work because of personal illness or injury. A medical appointment alone does not automatically establish that entitlement. Your award, agreement or workplace policy may provide additional appointment arrangements, so check the applicable process. Fair Work guidance on notice and medical evidence
Ask what evidence the employer needs
The employer may want the date and time you attended, evidence about illness-related incapacity or information supporting a different leave category. Ask for the request in writing if the distinction is unclear. This helps you avoid requesting a document that answers the wrong question.
If only part of a shift was missed, explain the actual period. Travel time, clinic attendance and inability to work are different facts. A clinician can accurately document what they know, but should not be expected to certify every administrative assumption made about the day's absence. Request documentation from the service you attended
If you need confirmation that you attended a particular clinic, ask that clinic about its process. It holds the relevant appointment record and can explain what it is able to provide. Another doctor who did not see you at that time should not be asked to imply they did.
A booking confirmation may show that an appointment was arranged; a receipt may show payment. Neither necessarily confirms all the clinical circumstances or the time you were unable to work. Tell the receiving organisation what evidence you have and ask whether it addresses the request.
What can an attendance document say?
The content depends on the service and what can be verified. It may identify the patient, the appointment date and relevant attendance information. It should not be used to suggest a diagnosis, examination or incapacity that was not assessed.
If an attendance note is all that is supported, do not ask the clinic to relabel it as a sick-leave certificate simply because the latter sounds stronger. Medical documents must be honest and based on facts the practitioner knows or reasonably believes to be accurate. What if you were also too unwell to work?
Explain the symptoms and effect on your duties during the consultation. A doctor can then assess whether an incapacity opinion is supported as well as the fact of attendance. Describe the timeline, particularly if you worked before the appointment or remained unable to work afterwards.
A supported certificate may cover a period different from the appointment time, but that is a clinical decision. The issue date and examination date must remain truthful. Read medical certificates for work for the broader evidence process. Avant: Medical certificates — your responsibilities
Does telehealth attendance count differently?
Phone and video consultations are healthcare appointments when provided appropriately, but their format does not itself establish entitlement to sick leave. You may have attended remotely while otherwise fit to work, or been unwell enough to require leave independently of the call. Ask the clinic how it records attendance and whether it can provide the requested document. A telehealth service should still assess the suitability of care and maintain appropriate records. A completed form or payment is not automatically equivalent to attending a clinical consultation. Medical Board telehealth guidelines
What if you accompanied someone else?
Tell the employer and clinician whether you were the patient or were providing care. Carer's leave has its own relationship and care requirements. Accompanying a family or household member because they need support may raise a different question from attending your own appointment. Fair Work sick and carer’s leave guidance
The patient's attendance note does not necessarily establish the time you needed to provide care. Explain the actual responsibilities and check what reasonable evidence is required. See the carer's certificate guide rather than submitting a document that incorrectly suggests you were the person assessed.
Correct errors through the issuing service
If the name, date or attendance information is wrong, contact the clinic and explain the specific error. Keep the original document available. A correction should come from the service responsible for the record; do not edit a PDF and present it as an unchanged original.
If the recipient instead wants a new clinical opinion, the clinic may need another assessment or may be unable to provide it retrospectively. Ask what additional information is needed and whether another appropriate form of evidence is available. Fair Work recognises several examples of reasonable leave evidence. If you already attended another provider and only need proof of that attendance, start with that provider. If you need current health assessment and a supported opinion about work capacity, describe those needs clearly. The useful document is the one that accurately answers the real question, rather than the one with the most reassuring title.
Plan the absence before the appointment when possible
Ask your employer how to request time away and which leave or flexibility arrangements may apply. Explain the expected timing without disclosing unnecessary clinical detail. A planned appointment and an unexpected illness can involve different administrative steps even when both relate to health.
Fair Work explains that attending an appointment does not automatically establish paid sick-leave eligibility; the relevant question includes whether illness or injury makes the employee unable to work. Fair Work's medical appointment guidance
Separate travel, attendance and recovery
Write down the appointment time, travel needs and any expected recovery or restrictions discussed by the treating service. Do not assume a brief attendance confirmation explains an entire day away. If recovery affects capacity, ask the clinician whether that can be assessed and documented.
Bring the employer's exact request. It may ask for proof that you attended, a supported period of incapacity or a separate capacity assessment. These documents answer different questions. Asking clearly at the outset can reduce the need to return later for clarification.
If the appointment is rescheduled
Update the employer through the agreed process and keep the new confirmation. Do not ask a doctor to document attendance that did not occur. If you were independently unwell on the original date, explain that as a separate clinical issue rather than trying to use a cancelled appointment as evidence of incapacity.
If a document contains an administrative error, contact the issuing service and explain the correction needed. If the request changes the clinical opinion or dates, another assessment may be necessary. The clinician decides what can accurately be supported.
Keep the final record clear
Save the submitted evidence and any confirmation from payroll or the supervisor. If the leave is recorded differently from what you expected, ask for an explanation using the relevant employment documents. A medical certificate does not resolve every question about pay, scheduling or workplace policy.
Discuss your next step with a doctor
Read about Doccio's medical certificate assessment and book an online doctor appointment for a suitable non-emergency concern. Bring the relevant history, records and questions from this guide. A doctor decides whether advice, treatment, a document, testing or in-person care is appropriate. Check current fees and service information before booking. If symptoms are urgent, use the appropriate urgent or emergency service instead of waiting for a routine appointment.
